Case Study

Delivering a Sustainable Multi-Site Workplace Transformation Across the UK

As part of a nationwide estate rationalisation programme, a major UK government organisation required the clearance and consolidation of office locations across England and Wales.

The programme involved managing workplace assets across eight separate locations, while maximising opportunities for reuse, reducing waste and delivering measurable environmental and social value.

Using Crown Circulate principles, Crown Workspace developed a scalable, portfolio-wide solution that transformed a complex workplace clearance programme into an opportunity to recover value, extend asset lifecycles and support the organisation’s wider sustainability ambitions.

THE CHALLENGE

Managing workplace transformation across multiple locations presents far greater complexity than a single office move.

The client required a strategic partner capable of delivering a consistent approach across offices in:

  • Chatham
  • Brighton
  • Leeds
  • Southampton
  • Cardiff
  • Bristol
  • Plymouth
  • Exeter

The programme needed to:

  • Coordinate workplace clearances across multiple UK sites.
  • Maximise opportunities for reuse before considering disposal.
  • Reduce operational and disposal costs.
  • Support government sustainability commitments.
  • Deliver measurable carbon reduction.
  • Generate social value through community reuse initiatives.
  • Maintain consistent governance, reporting and project management throughout the programme.

Rather than treating each office as an individual project, the client wanted to manage its estate as a connected network, ensuring furniture and equipment could continue creating value elsewhere wherever possible.

THE SOLUTION

Crown Workspace implemented a nationwide workplace clearance programme built around Crown Circulate and circular economy principles.

Using a centralised project management approach, workplace assets from every location were assessed and directed through the most sustainable recovery route available.

These included:

  • • Internal redistribution across the estate.
  • • External resale through approved circular economy partners.
  • • Donation to charities and community organisations.
  • • Responsible recycling for assets that could not be reused.

By viewing the estate as a single portfolio rather than individual offices, assets no longer required in one location could be redeployed elsewhere, reducing waste while maximising both financial and environmental value.

Throughout the programme, dedicated project managers coordinated logistics, stakeholder communication and reporting to ensure a consistent experience across all eight locations.

MAXIMISING ASSET RECOVERY

Across the programme, Crown Workspace assessed 1,770 workplace assets and successfully kept the majority in productive use.

Key outcomes included:

  • 1,215 assets successfully reused
  • 66% of all assets identified as reusable
  • 749 assets resold
  • 94 assets redistributed internally
  • 330 assets donated to community organisations

By taking a portfolio-wide approach to asset management, the organisation significantly increased reuse rates while reducing unnecessary procurement and disposal.

DELIVERING FINANCIAL VALUE

The programme demonstrated that sustainable workplace transformation can also generate measurable commercial benefits.

Through established resale partnerships:

749 workplace assets were successfully resold.

£2,730 was recovered through resale rebates.

In addition, internal redistribution reduced future procurement requirements, extending the useful life of workplace furniture and equipment across the wider estate.

DRIVING SUSTAINABILITY THROUGH CIRCULAR ECONOMY PRINCIPLES

Applying a reuse-first strategy delivered significant environmental improvements throughout the programme.

Key outcomes included:

57 tonnes of CO₂e emissions avoided

28 tonnes of material diverted from waste

1,215 assets kept in productive use

The carbon savings achieved are equivalent to the annual electricity consumption of approximately 85 UK homes.

Material recovery also demonstrated the effectiveness of the circular economy approach:

  • 28.36 tonnes reused
  • 16.38 tonnes recycled through mixed recycling streams
  • 3.64 tonnes recycled as metal
  • Only 1.82 tonnes directed to energy recovery

These results highlight how large public-sector organisations can significantly reduce waste while maintaining operational efficiency during workplace transformation.

CLIENT FEEDBACK

The success of the programme was reflected in feedback received from the client following delivery across all eight locations.

“It’s been a delight working with you all and as a customer, we could not have asked for a more dedicated service provider. Nothing was ever too much trouble and your attention to detail, communication and engagement was exemplary.”

The client particularly highlighted:

  • Consistent delivery across multiple UK locations.
  • Excellent communication throughout the programme.
  • Proactive stakeholder management.
  • Exceptional attention to detail.
  • The ability to combine operational excellence with measurable sustainability outcomes.

THE OUTCOME

By adopting a strategic, portfolio-wide circular economy approach, Crown Workspace helped transform a complex national workplace consolidation programme into an opportunity to generate measurable operational, environmental and social value.

The programme enabled the organisation to reuse more than 1,200 workplace assets, avoid 57 tonnes of CO₂e emissions, generate £16,500 of social value, and recover additional value through resale, all while maintaining consistent delivery across eight UK locations.

The project demonstrates how workplace transformation can extend far beyond office clearances. With the right strategy, organisations can reduce waste, maximise the value of existing assets and create lasting benefits for both their business and the communities they serve.
